Frequently asked questions

Everything people ask us about Prosas — pricing, setup, security and support — answered in one place.

General

What is Prosas?

Prosas is an operations platform for the people who run buildings, equipment and field work. It brings the work that is usually spread across spreadsheets and phone calls into one place:

  • Facilities — sites, buildings, floors, rooms and spaces
  • Maintenance — work requests, work orders and planned maintenance schedules
  • Equipment and assets — machines, usage logs, warranties and the finance asset register
  • Inventory, spare parts and purchasing — stock locations, pickings, purchase orders and vendors
  • Sales, invoicing and payments
  • Fleet — vehicles, drivers, fuel and trips
  • Housekeeping, reception, visitors and gates
  • Safety (HSE) and security — incidents, inspections, guards and shifts
  • Projects and agriculture — lands, crops, irrigation and harvest records

Everything sits on shared foundations that come with every plan: employee records and access control, chat and notifications, dashboards, and a direct line to our support desk.

Is Prosas available in Arabic?

Yes. Prosas is fully bilingual in Arabic and English — not a partial translation. Screen labels, module names, roles, notifications and every message the system sends back all come in both languages.

The language follows each person, not the company: it is a setting on your own profile, so an Arabic-speaking supervisor and an English-speaking engineer can work side by side on the same records and each read them in their own language.

Getting started

How do I get started?

Four steps, and most companies are working on real data the same day:

  • Register your company. The account you sign up with becomes the owner — the one account that can hand out access to everyone else.
  • Add your people. Create employee records, then give a login account to whoever needs one — a technician you assign work to but who never signs in needs an employee record, not an account. Only active login accounts count toward your plan's user limit.
  • Set up roles. Build the roles that match how your team actually works, and tick exactly the permissions each one needs.
  • Bring your data in. Download the Excel template for equipment, inventory or any other list, fill it in, and upload it. The system validates the file and shows you every problem before anything is saved.

Enterprise customers also get a dedicated onboarding session with our team.

Do I have to buy every module?

No. Prosas is built as separate modules and you pay for the ones you use. A maintenance contractor does not need housekeeping; a hotel does not need agriculture.

Five foundations are included in every plan and are never sold separately: company settings, employees and access control, chat and notifications, the support desk, and your dashboard.

A few modules bring another one with them automatically, because they cannot work without it — maintenance includes equipment, and spare parts and purchasing both include inventory. You are never charged twice for that, and you never have to work out the dependencies yourself.

You can add modules later. Your data is not affected either way.

Pricing

How much does Prosas cost?

Prosas is sold in three packs, priced in Saudi riyals, and you choose monthly or yearly billing. What separates the packs is how many modules they open and how many user accounts they allow — from a small team on the entry pack, up to unlimited users and every module on the Enterprise pack.

Paying yearly costs ten months instead of twelve, so two months are free. That holds at every tier.

The current prices, what each pack includes, and the user limits are all on our pricing page.

Is there a free trial?

Yes. Our Pro and Enterprise packs come with a 15-day free trial, and no card is needed to start one — there is no online checkout to put a card into.

A trial is not a limited demo: every module in the pack is fully open, and the data you enter during it is your real data. Nothing is wiped when the trial ends.

You can see exactly how many days are left, and which modules are open, on your subscription screen inside the app.

Billing & subscriptions

What happens when my subscription ends?

Your data is never deleted. Access winds down in two steps, on purpose — a late payment should not cost you a day of work.

  • Grace period (7 days by default). Everything is still readable. Your team can open records, run reports and export data; they just cannot create or change anything.
  • After the grace period. The account pauses. You can still sign in, reach our support desk, and see the renew screen — that is all.

Renewing puts everything back exactly as it was. Nothing is archived, overwritten or thrown away in the meantime.

Features

Can people report a problem without a Prosas account?

Yes — and this is usually how a maintenance team hears about a problem first.

Every company gets a public request link it can share with tenants, staff or visitors. Anyone who opens it can describe the problem, pick the building or room, attach a photo, and send it. No account, no app, no password. The request lands in your work queue like any other.

They get a reference number back and can check the status with it at any time, so nobody has to call and ask.

You can also print a QR code for a piece of equipment. Whoever scans the plaque on the machine sees that machine's card and can report a fault against the right asset — no guessing, no wrong equipment on the work order.

Account & security

Who can see my company's data?

Your team, and only the parts of it you allow.

Between companies there is no sharing at all. Every record belongs to one company, and every query the system runs is scoped to the company of the person asking. There is no screen, filter or link that reaches across that line.

Inside your company, you decide. You build your own roles and tick exactly which permissions each one carries, so a technician sees work orders without seeing invoices, and a store keeper sees stock without seeing salaries.

Our own staff are limited too. Supporting you means our team can see account-level information — your plan, your users, a ticket you opened. They cannot read your chat messages: the admin tools report message counts only, and there is deliberately no screen anywhere that shows message content. Every action our staff take on an account is written to an audit log.

Support

How do I get help if something goes wrong?

There is a support desk built into the system. Open a ticket from inside Prosas, pick what it is about, and it goes straight to our team — you can follow the whole conversation and its history in the same place. The support desk is included in every plan, and it keeps working even if your subscription has lapsed.

If you cannot sign in — a forgotten password, a locked account, an account you never received — use the contact form on this site instead. You will get a tracking link back so you can follow the answer without an account.

Pro and Enterprise customers are answered on priority.

Still have a question?

If your question is not answered above, open a ticket and a person will get back to you. You do not need an account.
